Job Description: Office Manager
Much like the manager of a small business, the Office Manager of Yorktown University, a for-profit Internet University located in Denver, Colorado, is a hands-on multi-tasked position requiring maintenance of office hours five days a week, for full-time office managers, and twice a week for part time managers. Yorktown University's office is located at 4340 East Kentucky Ave., Suite 457, Glendale, CO 80246. The person serving as Office Manager should be a college graduate or an adult enrolled in a degree program at an accredited university. As the first person the public meets, the person is expected to serve as the public liaison to potential students, their parents, or the general public. Preferred: Denver resident or recent college graduate from a Colorado institution. Requisite Skills: Typing ability at not less than 50 wpm. Good grammar and command of English. Though familiarity with Outlook, Windows and Microsoft Word. Duties: Maintenance of student records. This will involve learning duties that a college Registrar performs. Source a software program for student transcript management purposes and banknote quality paper on which transcripts are prepared for students. Transfer student records to new software. ACT2006 a contact management software. A program for contact management (registry of incoming calls); Database management. An internal database captures online queries; after each newsletter, "unsubscribe" requests are removed from the database. Newspaper management. A campus newspaper (www.yorktownpatriot.com) is updated by new postings selected by editors; Dreamweaver software. This software converts Word into html. Periodic update of course syllabi by converting documents from Word into html using Dreamweaver. Maintain procedures established to monitor student performance. Students who enroll must be sent an Enrollment Agreement that spells out the terms on which tuition will be refunded when and if they drop a course. For graduate courses the enrollment agreement includes the cost of required books. Another survey is to be completed when the complete a course, and three others must be administered, two by Faculty of which one is completed when a student completes a course and one that Faculty use to evaluate them. Respond to incoming queries from prospective students. Send thank you e-mail message, and call students who provide telephone contact information. Application for accreditation. Work under guidance of a consultant to complete paperwork related to application for accreditation of the M.A. in Government degree program. Maintain relations with Faculty Advisors. A direct mail solicitation was sent to 813 public and private high schools principals, teachers, and guidance counselors in Colorado asking them to become Faculty Advisors. Respond to those who reply to this solicitation. Develop and mail 'kits' that include information about Yorktown University. Course delivery system: http://yorktownu.on.izio.com is the location of the University's course delivery system name "Izio." The Office Manager will be tasked to master this system and be available to instruct students having difficulties using Izio.
